What you’ll contribute to:

An attractive opportunity has become available for an experienced Executive Assistant to join the QAL team and support two of our Executive Committee members! The Chief Operating Officer (COO) and Chief Property and Planning Officer (CPPO) are seeking a motivated and highly organised individual to provide high-level professional support to them and their teams.

How will you make an impact?

We are looking for a self-starter who loves taking initiative and ownership of solutions that provide outstanding support to these two Executives. The ideal candidate is collaborative, must have minimum 3 years in a similar EA position, have supported Executives leading large teams, and have proven experience in working with stakeholders at senior levels. They will possess expert time management and organisational skills, and high-end event coordination and planning experience is essential.

Key deliverables/responsibilities include but are not limited to:

  • Provide high level, proactive administrative and secretarial support to the COO, CPPO and other members of the QAL Leadership team as required.
  • Proactive diary and meeting management, telephone calls, management of correspondence and arranging domestic and international travel.
  • Organisation of Executive meetings, QAL Board and committee meetings and complex stakeholder events, including invitations, document preparation, and meeting / event logistics etc.
  • Assist with the preparation of budgets, monthly reports, presentations, correspondence, submissions, briefing messages, media management etc.
  • Support with purchase order and expense reconciliations ensuring compliance and timeliness.
